INSTRUCTIONS TO PRESENTERS & PARTICIPANTS

Instructions

TCM-TOEO 2022 will be a hybrid symposium. All the oral presentations which will be presented in room “Hermes” are going to be broadcasted also in the Zoom Platform. All registered participants and speakers will be provided with a Zoom Link for each day of the symposium in order to attend their desired presentations.

Speaker’s Instructions

Speakers are encouraged to load their presentation in the TCM-TOEO 2022 computer which will be available in the Hermes Room. The accepted presentation formats are Powerpoint or PDF. In order to avoid delays and compatibility problems, you must load and test your presentation, the latest, in the break before your presentation session.

There will be always a member of the support team there, at least twenty minutes before the start of the presentations, in order to help you.

If you wish to present through your own laptop, you must test the connections with your laptop and the AV Systems of Hermes Room. The support team has created a setup, which contains an external Sound Blaster Card with a USB Input for your computer. If your computer doesn’t have an USB Input then you have to make your presentation through the TCM-TOEO 2022 computer provided.

In order your presentation to be broadcasted though Zoom, if you‘re using your computer, you have to login to Zoom using the appropriate day’s Zoom link and share your screen. Please inform us if you don’t want to make your presentation screen public; in that case you must avoid sharing your screen and only share your sound.

If your presentation contains sound or video with sound, please follow the instructions at the end of this document.

Participant’s Instructions

If you’re planning to attend the symposium through Zoom, please be sure that you’re connected without camera and your sound should be turned off. If you want to ask a question you can raise your hand in zoom or write it on the chat window (preferred). The chairman will group the questions on the chat windows or unmute your microphone in order to make your question directly.

How to share audio with shared visuals

  1. Start or join a Zoom meeting.
  2. Click on Share Screen  on the meeting toolbar.
  3. Select the program or desktop you wish to share.
  4. Select Share Sound in the bottom-left corner of the share selection window.
  5. (Optional) Select the down arrow  just to the right of the Share Sound option to view audio options and switch between Mono and Stereo (high fidelity) audio options.
  6. Click on Share in the bottom-right corner to begin sharing with your device’s audio included.

Notes:

  • Sharing device audio can also be enabled after you have begun sharing by locating the share toolbar, clicking More, and then selecting Share Sound.
  • To switch between mono and stereo sound while sharing, locate the share toolbar, click More, then select between Mono and Stereo (high fidelity) options under Select sharing sound mode.

For users who join the meeting via both phone and computer, in order to receive audio via the phone and video/screen sharing via computer, if Share Computer Sound is enabled, this will trigger the audio to channel through both their phone and their computer speakers. To avoid the audio feedback, mute the speaker of your phone or the speaker of your computer

Poster Presentation

There are two poster session presentations, scheduled to run on Tuesday, October 18th and Thursday, October 20th during the lunch break. All posters must have been pinned on the designated board for the full duration of the conference (Monday to Friday).

The poster board dimensions are 1.00m x 1.00m with actual display area of 94cm height x 80cm width.

Blu-Tac & scotch tape will be provided at the secretariat desk for poster display.

Those participants who have a poster presentation but are unable to be present to defend it, should send a full colour printed copy of their poster and a pdf file to the conference secretary the latest ONE WEEK in advance. Conference personnel will subsequently pin them on their behalf with a note “online” meaning that any comments that attendees would like to make, will have to send them to the corresponding author of the poster through e-mail.
